Map tasks against time

Write down the tasks for an ordinary weekday and place them next to the time they must happen. School transport, breakfast preparation and getting rooms ready can compete for the same hour. A single worker may have several skills, but cannot carry out two tasks in different places at once. Start with timing rather than choosing a job title and adding responsibilities later.

Separate specialist responsibilities

Driving requires the appropriate licence and suitable driving ability. Childcare needs focused attention and relevant experience. Clinical nursing requires appropriate qualifications. General cleaning or household errands should not silently expand into these responsibilities. Discuss each specialist need separately, even when you would prefer a smaller team.

Consider a combined role where the workload fits

A cook cum helper may suit a household with a manageable meal schedule and a limited set of additional tasks. A helper handling serving, laundry support and errands may fit another home. As an illustrative example, evening meal preparation and light kitchen cleaning can fit together more naturally than school pickups and cooking at the same time. The right arrangement depends on your actual duties, hours and the person’s skills.

Make live-in arrangements specific

Live-in staff need defined duties, working hours, rest, privacy and suitable accommodation. Living on the property does not make someone available continuously. If you need coverage at different times, discuss shifts or separate roles. Include meals, weekly time off, access rules and how extra work will be agreed in the written arrangement.

Prepare one brief for each role

For a team, identify who is responsible for each task and who supervises the work. Record separate hours, wages and start dates, and explain any shared duties.
